Because email is the primary means of communication for organizations both internally and externally, it is critical that they do everything possible to maintain complete visibility.

Make sure to follow these data archiving best practices:

  • Every email should be saved — The first and most fundamental thing you can do to assure complete visibility and comply with state law is to accomplish this. Employees who delete emails can cost you a lot of money and effort.
  • Have a clear email policy in place — It must be specific and you must demonstrate that employees have completely comprehended and agreed to the policy. When it comes to workplace bullying, this may cause bullies to be more cautious with their email usage, but it is still a useful tool for assisting with an inquiry once an issue has arisen.
  • Ensure accessibility and searchability — This will allow you to save time in the event of a dispute, as well as avoid fines for late data production in the case of an eDiscovery request. It would be preferable not to rely on IT to collect this type of data, especially in instances like the ones described above, because HR must be able to respond and acquire this data quickly.
